We are seeking a People Operations Administrator to join our People Operations  team. 

We are looking for someone to provide a highly confidential administrative support to the People Operations team ensuring that all People Operations service standards are adhered to. Whilst ensuring continuous improvement and efficiency of processes.

 

Key tasks will involve:

 

•              Provide efficient business focused People Operations administration and support service; working collaboratively to ensure the smooth running of all People Operations policies, procedures and systems.

•              • Daily maintenance of People Operations Systems, following required process and offering continuous improvement suggestions.

•              Making and receiving telephone calls and emails, taking and passing on appropriate messages accurately.

•              Maintain an effective and confidential electronic filing/information retrieval system and ensuring that filing is completed daily.

•              Maintain People Operations management systems and regularly update ensuring relevant data is kept and is quality checked for accuracy and legal compliance.

•              • Become familiar with standard reports in the people operations system. Produce and validate reports upon request to deadlines as required.

•              • Typing to a high standard, preparation of draft agendas, taking formal minutes including investigation interview notes, production of training material and provide the support for meetings as required.

•              Maintain an up to date knowledge of Stone’s People Operations policies and procedures.

•              Provide People Operations advice to employees on routine People Operations enquiries.

•              Be responsible for the organisation of panels and hearings including assisting in the compilation of case papers.

•              To provide support and advice to managers dealing with long and short-term absences including ill health retirement and dismissal and to support with the management of these cases from a People Operations perspective including assisting with the preparation of investigations and supporting managers in hearings.

•              Process set up of new employees on people operations systems and associated new starter documentation, including but not limited to offers, contracts, relevant security checks, references. Dealing with routine correspondence, liaising with relevant recruiting manager as necessary.

•              Advise recruiting manager on induction for new starters and conduct People Operations elements as required.

•              Undertake ongoing security checks and requirements, including checks and maintenance of employees personal identification, setting up the appropriate initial and refresher checks and maintaining records.

•              Process maternity, adoption, paternity and parental leave and flexible working requests. This includes verifying eligibility. completing and distributing all relevant documentation in a timely manner.

•              Assisting the People Operations team in the management, development and delivery of suitable employee training, including all training administration. Support and report on the delivery of training programmes against an agreed matrix of training requirements.

•              Ensuring that staff training needs are fully identified and mapped from appraisals and performance reviews through to delivery and updating of training records.

•              Support managers in identifying training and development needs for employees to meet performance standards.

•              Process training applications from line managers.

•              Provide administrative, learning and development support whilst utilising and maintaining the People Operations system.

•              Assist in the development and maintenance of training matrices for all employees and provide learning and development support.

•              Assist the People Operations team in specific projects, including system testing and development.

 

The suitable candidate will have an HR Support Level 3 (to have or be studying towards via an apprenticeship), GCSE English and GCSE Mathematics or equivalent. They will have a good knowledge and experience of the Microsoft office suite and the ability to manage sensitive and confidential information appropriately and compliantly. They will demonstrate pro-active behaviour that demonstrates initiative and positive work ethic to ensure activities are delivered to the required time, budget and quality and have proven HR.  

 

It is also desired but not essential to have experience of working in a role that requires planning, organising and administration tasks and where confidentiality is critical.  As well as experience using HR systems and notetaking.

 

Full training will be provided

This is a full position - 37 hours per week
